The District continues to review duties and procedures throughout all fiscal services to improve segregation of duty procedures. We are implementing procedures to ensure additional oversight in areas such as cash handling, recordkeeping and financial reporting. These procedures include ensuring that all journal entries, cash receipt entry, check batches, and balancing procedures are reviewed/edited by more than one person at Central Office.

We have made changes internally that shift responsibilities between the Business Manage and Office Manager which provides an additional person having responsibilities with investments, cash, and the overall financial reporting.

The District Office Manager and Administrative Assistant continue to learn new roles and divide responsibilities in the area of payroll processing, data entry, receiving and general ledger at the District level. We are utilizing online payments for lunch accounts, registration and for some activities to reduce overall exposure with cash candling. We have also changed some roles for associates, secretaries and a kitchen assistant to ensure daily deposits, receipts and receipt entry are not under the control of one person.

The District will continue to review and evaluate staff assignments and areas where additional internal control is needed. We continue to train Central Office staff in all areas of the accounting system to increase participation of multiple personnel in payroll processing, data entry, and general ledger activities. The District has added two additional staff members at the High School where the largest amounts of financial transactions occur. This allows us to include additional staff in the process of cash handling, receipting and financial reporting. We are also increasing our ability to take electronic payments which should help to minimize our exposure.
