The University experimented numerous personal changes in the Register and Financial Aid Office, resulting complicated the continuity of established policies and processes. However, the University reviewed its processes and internal controls and established training for the Register and Financial Aid Office to ensure this report is submitted within the regularly timeframe. The results of these efforts will be effective during the 2025-2026 fiscal year

Criteria: 34 CFR 682.610 (c) (2) - The institution shall notify the guaranty agency or lender within 30 days if it discovers that a Stafford, SLS, or PLUS Loan has been made to or on behalf of a student who enrolled at the institution but has ceased to be enrolled on at least a half ?time basis, unless the institution expects to submit its next student status confirmation report to the Secretary within the next 60 days. Condition: The Institution did not notify the Secretary through the NSLDS in a timely manner the change in the enrollment status (withdrew/graduated) of two (2) students with federal loans during the academic period covering the fiscal year 2021 - 2022. Questioned Costs: No questioned costs were identified. Perspective Information: We examined the status change reporting of 25 students with federal loans during the fiscal year 2022. Effect: Failure to notify a change in enrollment status on time would preclude a lender from obtaining the necessary information in order to determine a student?s status for billing and other required procedures. Cause: The Institution was in the process of reviewing the procedures for identifying students who met the graduation requirements. Recommendation: The Registrar?s Office should improve the procedures to ascertain the timely notification of any change in status of students? recipients of Federal loans. Follow up procedures should be made to the implementation process of the Clearing House Enrolment Reporting System. Finding No. 2022-001 The University verified the internal processes to this report and verified the operating system manual used by the University from the report. After this assessment on May 5, 2021, the University is review and amended the procedure for identifying students who met the graduation requirements. This procedure was done with the purpose of ensuring sent this report in the time required according by the regulations. This procedure is effective from fiscal year 2021 - 2022, as notified in the action plan for last year. As a result of the implementation of this process, the number of students was reduced by fourteen (14), from 16 to 2 compared to last year. This represents a reduction, of fifty-six percent (56%). In addition, to what has been previously explained, training and retraining will continue for all offices and departments that involved in the process established by the University. On the other hand, the University will continue to monitor the process by conducting internal audits to guarantee compliance with regulations in this matter.

The management of the University after assessment the results of the current procedure, proceeded to verification to review of 100% of the students who met their graduation requirements for the fiscal year 2020 - 2021. This evaluation was carried out with the purpose the reconcile the operating system of the University and the NSLDS platform, those students who founds discrepancies in the classification proceeded to change said classification.
